Position Overview

Join us in serving students during their college search process and supporting the University's enrollment goals. Butler University's Enrollment Operations Office seeks a collaborative and service-oriented individual with strong communication skills, resourcefulness, and attention to detail. This position supports the admission application process. Primary responsibilities include accurate and efficient processing of applications, maintaining data in Slate CRM, and responding appropriately to inquiries from internal and external constituents.

Responsibilities
  • Primary support of the application processing for graduate applicants
  • Processing support to undergraduate first year, transfer, and non-degree admission
  • Support communication efforts via email inbox and call center with undergraduate, graduate, and non-degree students through the life cycle from prospect to graduate
  • Maintain letter templates (including online), decision queries, signature macros, decision trackers
  • Confirm and process admissions decisions for graduate applications
  • Process requests for program changes, deferrals, waivers and withdrawals for undergraduate, graduate and non-degree students
  • Maintain AI Chatbot by monitoring incoming questions, completing review of unanswered/missed questions, and editing and updating current responses to ensure information is up to date and accurate
  • Ensure data integrity or prospective, applicant, and matriculated student records, including but not limited to, consolidating duplicate records
  • Troubleshoot and resolve Slate or PeopleSoft application issues by creating and managing system queries and/or working with IT for resolution
  • Test applications and processes and document issues prior to them going live
  • Provide event support for large admission events, including those occurring outside of the typical workday
  • Update and maintain policies and procedures
  • Process confidential material
  • Maintain and archive records per University policy
  • Special projects as assigned
Required Qualifications
  • High school diploma
  • Minimum experience of 2-3 year in database management and/or manipulation
  • Excellent customer service skills
  • Excellent oral and written communication skills
  • Excellent attention to detail
  • Advanced ability to multi-task
  • Demonstrated ability to use Microsoft Office programs (Word, Excel, Outlook)
  • Customer service experience
  • Experience handling a multi-line phone system
Preferred Qualifications
  • Experience with Slate or another CRM
  • Experience with Microsoft Teams
  • Higher education or secondary education work experience
