Summary:
The Prospect Research Coordinatoris integral to supporting the fundraising goals of the College of Lake County Foundation. The role is primarily responsible for database management within Raiser's Edge and is a member of the financial team within the Foundation. The Coordinator is charged with correctly handling and processing all revenue received, with the exception of investment income. The Prospect Research Coordinator helps to plan, coordinate, and execute fundraising efforts by providing a range of support and services to all members of the team.

Required Qualifications:
  1. High School diploma or equivalent.
  2. A minimum of four (4) years of experience in a professional office setting performing administrative and database-related tasks ideally using a fundraising platform or software.
  3. A minimum of one (1) year of experience in providing fundraising or related support.
  4. Demonstrated ability to learn and manage an integrated database.
  5. Strong attention to detail and ability to perform data entry accurately and efficiently.
  6. Demonstrated experience in handling and maintaining confidential information.
  7. Demonstrated ability to use critical thinking skills to analyze department data and needs.
  8. Ability to work a flexible schedule, including evenings or weekends as required for events.
  9. Proficiency in Microsoft Excel.
  10. Excellent organizational skills, along with the ability to effectively manage multiple projects and deadlines.
  11. Excellent interpersonal written and verbal communication skills.

Pay Rate: $54,400 - $65,000/year (Salary offer in this range will be commensurate with experience and education).

Summary of Essential Functions:
Project and Process Management – 50%
  1. Performs independent ongoing analysis, monitoring of data accuracy and quality by upholding Foundation standards, procedures and policies.. Responsible for maintaining best practices for data entry, reporting, and database management.
  2. Receives and records all payments and donations outside of investment income. Collects and compiles revenue information from a variety of sources and ensures updated records and properly coded gifts to comply with fundraising and financial auditing standards.
  3. Works in coordination with other members of the team to ensure received funds are managed and routed appropriately, communicates and assigns actionable items from gift paperwork and agreements.
  4. Designs unique queries and exports to provide refined quality data for mailing lists, reports, and fundraising activities. Assesses division needs and independently determines the correct mechanism and specifications in order to pull accurate data in the format requested. This includes working with other Foundation staff to designate and analyze targeted segments for large direct mail campaigns or other fundraising efforts.
  5. Co-creates the structure of the registration process for events in collaboration with event and annual giving staff, with a focus on constituent database(s) and gift processing.
  6. Provides donor/prospect research and reporting for fundraising staff, utilizing a range of public and private databases, as well as analysis of giving and interaction histories within the Foundation’s own database(s). Provides reporting as required to assist fundraising staff in identifying targets and approaches for fundraising.
  7. Oversees the systems necessary for prospect management and supervision of fundraising staff. Manages regular reporting to increase the effectiveness of fundraising and the supervision of activities related to fundraising.


Technology Support – 40%
  1. Manages the Raiser’s Edge database, as well as any other databases or Excel documents used functionally as customer relationship management (CRM) databases. Oversees database functionality, large data imports, and ensures that all recordkeeping systems maintained in a manner that ensures reporting and exports to support the department.
  2. Continuously develops knowledge and expertise in existing databases, including Raiser’s Edge and Financial Edge..
  3. Serves as resident expert on database functionality in Raiser’s Edge, and in artnership with database manager of Financial Edge, provides training to relevant staff.
Customer Service – 5%
  1. Supports and engages with students, alumni, donors, volunteers, faculty, staff, Foundation Board members, and College of Lake County Board of Trustees.
  2. Provides day of event support at registration as assigned.
  3. Partners with annual giving staff when needed to create the website/e-mail blast framework for annual giving appeals.
Other – 5%
  1. Participates in in functional cross-departmental teams, committee, and councils.
  2. Participates in professional associations/organizations and educational activities that enhance subject matter expertise and technical competencies, knowledge, understanding as well as interpersonal skills.
  3. Performs any and all other duties assigned that support the mission, vision, values and strategic initiatives of the College and the goals of the Foundation.
