The purpose of this class is to provide complex and confidential administrative assistance work supporting the Vice President of Institutional Advancement.

Associate degree in general studies, education, English, business, or related major required; Bachelor's degree in a similarly related major preferred. Six (6) years' experience working as an Executive/ Senior Administrative Assistant supporting Executive Leadership is required. Experience in higher education preferred. Proficient in all Micro Soft Office Suite software. Knowledge of Fundraising and event software. A demonstrated ability to accurately compose effective and varied correspondence such as letters, forms, professional and technical reports, and minutes in a timely manner.

Applicants must complete and pass Microsoft testing modules which includes Word and Excel and demonstrate the ability to type 45 wpm; (Will accept current MicroSoft Certifications for Word and Excel in lieu of testing.) and pass a Business Writing Test.
  1. Maintain the orderly and efficient operation of the office of Institutional Advancement.
  2. Prepare and analyze reports, produce departmental communications, as required.
  3. Serve as point of contact for internal and external organizations.
  4. Serve as an advocate for the College and its students, as required and serves as liaison between College departments, faculty and/or staff, as required.
  5. Answer telephone and provide general information to the public.
  6. Assist supervisor with special projects and reports, as required.
  7. Produce departmental communications, as required.
  8. Assist in planning special events, such as meetings, conferences, ceremonies, gala, etc.
  9. Compose final reports and correspondence, process various office forms.

  1. Provide administrative support to the Vice President for Institutional Advancement.
  2. Perform office management functions such as developing, monitoring, and managing IA budgets. Prepare and process payment of invoices/purchase orders and investigate any discrepancies associated with billings.
  3. Assist in planning special events, including meetings, receptions, and ceremonies, to include collaboration with other departments and their representatives regarding logistics.
  4. Work cohesively with other members of the Office of Institutional Advancement to complete all required projects and tasks on time.
  5. Type, edit, draft, and assemble correspondence, reports, and other materials for review and signature. Proofread, correct spelling, grammar, and punctuation as needed to prepare finished documents. Arrange delivery of completed documents.
  6. Assemble information in preparation for meetings and coordinate the logistics for CCBC Foundation Board meetings (agendas, room reservation, IT, catering), gala event and other events as needed.
  7. Attend meetings as required and take minutes.
  8. Maintain calendar, travel reservations and reimbursements for the Vice President.
  9. Manage office inventory; order and maintain office supplies. Coordinate the maintenance and repair of office equipment.
  10. Disseminate oral and written communications and information, as requested, to the internal and external community.

  12. Maintain confidential files and records.
