We are a commercial construction company seeking a highly organized and detail-oriented Administrative Assistant/Contract Administrator to join our team.  As an Administrative Assistant, you will be responsible for processing owner contracts, processing subcontracts and purchase orders, completing prequalifications, updating meeting minutes, tracking vendor insurance certificates, renewing state licenses, tracking lien waivers and sending out checks, among other duties. Construction experience is preferred.

Responsibilities (not limited to this list):

  • Preparing owner contracts, including AIA contracts
  • Preparing subcontracts and following up to make sure they are signed and returned along with required backup documentation
  • Updating meeting minutes and progress meeting minutes
  • Completing prequalifications
  • Tracking vendor insurance certificates
  • Tracking returned lien waivers and sending out vendor checks
  • Updating project list for current year projects

Qualifications:

  • Excellent communication skills
  • Strong attention to detail and organizational abilities
  • Ability to work independently and prioritize tasks effectively
  • Construction experience is preferred
  • A minimum of five years of experience is required

This is a full-time, in office position.
