Position Purpose

Provides a high level of administrative support to the Administrative Human Resources (“Admin HR”) Services office, supporting the Campus Services division. Provides optimal customer service for the office, both in-person and online. Communicates respectfully with a diverse community and supports the College's mission to foster inclusiveness and diversity.

Required Qualifications - Skills, Knowledge and Abilities
  • Minimum of three (3) years' experience in front office support, or the equivalent.
  • Excellent interpersonal, oral and written communication skills.
  • Excellent organizational, time management skills and personal efficiency.
  • Demonstrated ability to follow-through effectively and promptly on tasks from initial request to completion.
  • Pleasant, patient demeanor with a commitment to customer service.
  • Ability to practice confidentiality and utilize discretion with sensitive information.
  • Ability to communicate comfortably and effectively with people of all education levels; communication skills; negotiation skills.
  • Excellent computer skills in a Microsoft Windows environment, database management and record keeping. Must complete Dartmouth Online Review and Recruit System training.
  • Must complete Dartmouth E-Verify training.
  • Strong commitment to a diverse working environment and to serving the needs of a large and diverse community.
  • Ability to work a flexible schedule as necessary.
Preferred Qualifications
  • Demonstrated interest in and desire to expand knowledge of Human Resources profession.
  • General knowledge of various employment laws and practices.

Key Accountabilities

Description

Customer Service
  • Provides an optimal customer service experience by greeting, assisting, and guiding walk-in visitors to Admin HR, including staff and students.
  • Provides online and IT support to visitors and employees, assisting with accessing online processes such as applying for positions, employee self-service, new employee orientation, etc.
  • Assists employees in-person, by phone or email with a variety of Human Resources policy, payroll and benefits questions by providing accurate information and follow-up with appropriate department to resolve questions and issues. Regularly handles confidential or sensitive information; exercises discretion concerning its disposition.
  • Responds to internal requests by phone or Admin HR email for forms, position descriptions or other general information pertaining to HR.
  • Develops knowledge of institutional and departmental HR policies, systems and processes in order to provide accurate information to customers.
  • Assists with Dartmouth compliance requirements including background checks and I-9s. Must remain certified as E-Verify campus representative.

Information Management
  • Disseminates communications, notices, flyers, and posters to departments within Campus Services.
  • Collects/scans payroll information and time off request slips for Admin Finance Center from all Dining locations daily. Scans and files time off request slips from Facilities Operations and Management.
  • Submits Injury Reports to Risk Management and maintains departmental files.
  • Assists with temporary hiring agency employee timekeeping data entry and invoices.
  • Assists with data entry and database support for divisional and departmental training programs.
  • Obtains Dining SEIU and Non-Union Service employee checks bi-weekly from Payroll and distributes to locations.
  • Other office duties as required, including scheduling meetings, space reservations and mail distribution.

  • Primary back-up support for new hire footwear stipend program.
  • Provides administrative support for the Learning and Development initiatives.
  • Provides administrative support to Communications initiatives as needed.
