East Stroudsburg University is hiring an Academic Secretary for the Departments of Nursing & Communication Sciences and Disorders! Located in the beautiful Pocono Mountains of Pennsylvania, ESU's proximity to New York City and Philadelphia provides convenient access to internships, careers and social activities. Just minutes from campus are the country's largest water parks, scenic Delaware Water Gap Recreation Area, Appalachian Trail, and other opportunities for recreational fun.

As the Academic Secretary for the Departments of Nursing & Communication Sciences and Disorders, you will need to think creatively and be comfortable providing administrative support for both departments. You will be an active member of the Nursing & Communication Sciences and Disorders team and will work closely with both department chairs to adeptly assist with all customer inquiries. You will thrive in this role if you like combining your administrative and organizational experience while coordinating events for both departments. To be successful in this role, you must have strong customer service skills, the ability to connect with multiple stakeholders, and maintain the administrative functions for both departments.

Your normal hours will be Monday to Friday 8:00 AM to 4:30 PM. You may have to flex your schedule from time to time based on the needs of the business to be a true Academic Secretary for the Departments of Nursing & Communication Sciences and Disorders. What Will I Do At ESU? (AKA Essential Duties)
  • Perform and process departmental reporting, reporting requests, meeting calendars, and taking detailed meeting notes.
  • Respond to calls from potential clinic clients to the ESU Speech and Hearing Center and send initial contact information to them.
  • Support the Clinic Director and Clinical Audiologist with scheduling clients for diagnostic services.
  • Distribute assignments to study students, scheduling shifts for student working, and reporting hours worked.
  • Process materials and performs support duties for admission, retention, and graduation.
  • Aid with clinical coordination and scheduling with hospital clinical stakeholders.
  • Maintain database of student clinical requirements including clearances and other requirements, while communicating with students regarding clinical clearances and requirements.
  • Manage, organize, and purchase supplies through approved vendors.
  • Perform inventory of Simulation lab and learning lab.
  • First line customer service for phone, emails, and walk in clients.
  • Provide support with student registration.
  • Assist SNAP with flyers, membership lists, event promotion.
  • Perform related work as required.
What We're Looking For (AKA Qualifications)
  • 6 months as a Clerical Assistant 1 or graduation from high school is required.
  • Excellent communication skills required to adequately assist students and parents across various platforms (email, face to face, phone, Zoom, etc.).
  • Must be highly organized and detailed in work tasks.
  • Ability to execute tasks in a high-volume environment.
  • Able to complete tasks independently, as well as manage workload for two departments.
  • Professional work experience with Word, Excel, Teams required. Previous experience with
    budgeting/accounting software and Banner is preferred.
  • Proven pivoting skills between work tasks.
  • Able to read, write, and comprehend English; able to follow verbal instructions.
  • Experience with Word, Excel, Teams required.
