Assistant Director, Engagement Programming

This position plays a vital role in ensuring that our alumni, parents and students, no matter where they live or who they are, feel pride in Hobart and William Smith, and the caliber and value of a liberal arts education The Assistant Director will be engaged in a comprehensive program of involvement and front-line contact with members of the Hobart and William Smith community. Active problem solving and excellent interpersonal skills, sound judgment, discretion, independent thinking and initiative are encouraged.

Essential Responsibilities:

Regional, Affinity and Virtual Program Planning and Implementation (50%)
  • Create and implement a comprehensive vision and strategy for regional programs to ensure our resources focus on the needs of the Colleges and out community.
  • Support regional and affinity programs to engage key trending constituencies (e.g., young alums, alums in live and work in the Tri-State area, William Smith @ Work, Greek Life, etc.)
  • In conjunction with the director and the office of communication, provide leadership and supervision in the planning and execution of high profile special regional events, including but not limited to holiday gatherings, summer swing events, tailgates, faculty lectures and presentations, etc.
  • Identify and develop opportunities for virtual engagement designed to build stronger affinity and engagement with the HWS community, and coordinate logistics for such opportunities.

Volunteer Management (20%)
  • Identify, recruit, train, support and recognize volunteers to ensure goals as outlined in engagement plans are met and that volunteers reach their full potential in the organization.
  • Collaborate with Advancement staff to create a consistent and meaningful volunteer experience, including development of training materials and volunteer resources as needed.

Engagement Communications (25%)
  • In collaboration with the office of communications, assist in the development, coordination, and implementation of a marketing and communication strategy for the office - content creation for engagement communications, including but not limited to website updates, printed materials, social media, etc., ensuring that all print and electronic communications are consistent with the Colleges' brand.
  • Serve as the liaison with marketing and advancement colleagues to establish an annual plan with goals, deliverables and timeline for all outreach.
  • Design, implement and promote virtual engagement activities, such as lifelong learning programs, education and career webinars, and other virtual engagement events.

Department Management and Support (5%)
  • Serve as contact for alum inquiries, requests, and concerns related to the Colleges and regional event activities.
  • Handle routine office communications related to campus initiatives.
  • In the absence of the director of alumni and alumnae relations, respond to routine questions, and whenever able, assist with issues as they arise.


Other Information:

This is a full-time, 12-month, benefits-eligible administrative position. Normal campus office hours of work are 8:30 a.m. to 5:00 p.m. during the academic year with a possible shortened workweek during the scheduled summer hours. This position description is not all-inclusive; as other tasks or responsibilities may be assigned. Salary is $58548.40.



Qualifications
  • Bachelor's degree required.
  • Experience in event planning and management, alumni relations, public relations, advertising, and/or corporate communications is highly desirable.
  • Candidate must be highly organized, proactive, detail oriented, energetic, highly motivated, creative, and have experience, and/or a clearly demonstrated aptitude for volunteer management and working in events management or a related field.
  • Excellent oral and written communication skills as well as interpersonal skills are required. Candidate must be team-oriented, flexible and able to work under tight deadlines and manage multiple tasks at once.
  • Experience in using Raiser’s Edge database highly preferred, experience with event registration systems preferred.
  • Candidate must be able to lift 30 pounds and be comfortable with the physical demands of the job.
  • A familiarity with larger metropolitan areas (Boston, New York City, Washington, DC, Los Angeles, etc.) and experience and comfort navigating larger cities is preferred.
  • Requires travel and some evening and weekend obligations.
