At the heart of Kansas's oil and gas industry stands the Kansas Independent Oil & Gas Association (KIOGA), dedicated to supporting independent oil and gas producers across the state. Located in Topeka, our organization exists to promote the development of oil and natural gas resources in Kansas through bipartisan, common-sense solutions to challenges facing the oil and natural gas industry.

Position Overview:

As the Office Manager & Events Coordinator, you'll play a pivotal role in ensuring the smooth functioning of our operations while assisting with the planning of member events that bring together industry stakeholders. From managing administrative tasks to spearheading event logistics, your contributions will directly impact the success of our mission.

Key Responsibilities:

  • Assist the KIOGA President with office management, administration, and clerical support.
  • Support and assist the KIOGA President with drafting a variety of documents, data entry and document preparation.
  • Handle all incoming calls to KIOGA, responding to member requests and, when necessary, directing inquiries to the KIOGA President.
  • Plan and organize work so all assignments and job responsibilities are completed within the designated time frames; notify President when problems are encountered which may interfere with completing an assignment on time.
  • Maintain records and files in an orderly and timely manner.
  • Assist in preparing correspondence and special reports.
  • Create brochures and flyers for seminars and conventions; Prepare bulk mailings. 
  • Act as KIOGA Annual Convention and KIOGA Midyear Meeting registrar. Prepares convention brochures and maintains registration lists. 
  • Responsible for annual convention and midyear meeting trade show exhibitor contracts and event sponsorships. 
  • Update and maintain KIOGA website.
  • Perform other duties as assigned.

Qualifications

  • Associate's Degree (preferred)
  • Administrative, office management and/or event planning experience
  • Excellent verbal and written communication skills as well as professional telephone etiquette
  • The ability to work independently and multi-task
  • Supportive of the oil and natural gas industry

Knowledge, Skills and Abilities:

  • Ability to be a team player, with strong relational skills, and maintain a positive attitude.
  • Skilled at multi-tasking and attention to detail.
  • Basic accounts payable, accounts receivable and reconciliation skills.
  • Strong computer skills, including Microsoft Office programs (Word, Excel, Access, Publisher, PowerPoint).
  • Skilled with database management.
  • Skilled at operating various office equipment (Printers, Copiers, Mailing Machines, etc.).
  • Ability to unpack and move supplies up to twenty-five (25) lbs.

 

Salary and Benefits

This is a full-time position in the KIOGA Topeka office.  Salary based on qualification and experience.  Benefits include paid-time-off (PTO), paid holidays, health insurance, and optional participation in 401K retirement plan.
