Job Summary

The Administrative Assistant for Student Success and Academic Excellence (AASSAE) provides support to the Associate Provost as well as the offices of Student Success and Academic Excellence, Academic Enrichment, Tutoring Services, Upward Bound, Frederick Douglass Institute, Act 101 and First-Year Experience in fulfillment of the mission and core functions of each unit. The AASSAE maintains a highly visible service presence in the Student Success office and acts as the office lead related to the support of Student Success programs and services.

The AASSAE manages student records and the assignment of students to staff for services in the Starfish platform and monitors this system for referrals, as well as prioritizes and triages responses to referrals. A highly visible position, the AASSAE acts as the first point of contact for university stakeholders and provides service, referrals, support, and information to all constituencies in student success-related matters. To be effective, the AASSAE must possess a deep understanding of all student success policies and procedures and have strong communication and interpersonal/soft skills.

This position provides critical administrative support, coordination, budgeting and reporting services to staff and faculty that serve to enhance and enrich the educational experience of students in a professional manner that adheres to the ethical standards of Kutztown University and the State System of Higher Education.

Minimum Qualifications
  • Exemplary customer care and support skills and the ability to relate to students is essential.
  • Excellent writing/editing skills and strong oral communication skills are required.
  • Must have relevant experience particularly regarding budgeting, data gathering and report generation, program coordination, working in a high-volume office, database management, and creating and maintaining necessary procedures to ensure smooth office operations.
  • Proficiency required in using software systems to manage daily operations and services, budgets, and personnel systems is needed.
  • Ability to conduct research and analyze, compute, and tabulate data as well as the ability to research topics related to student success and academic recovery.
  • The capability to work autonomously as well as independently is necessary.
  • The ability to multitask and complete responsibilities on-time with attention to detail.
  • Experience with or the ability to supervising student staff.
  • The skill to handle sensitive matters with discretion and sensitivity is a must.
  • Cultural competency as it relates to working with communities of color and other underrepresented students is required.
  • Proficiency necessary in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and collaborative software such as SharePoint, or similar programs.
Preferred Qualifications
  • Proficiency with meeting software such as Zoom, Microsoft Teams or similar platforms.
  • Banner SIS, and Ingeniux webpage management proficiency is highly desirable.
