Position Summary: As the Operations Manager at Mission Graduates, you'll be at the heart of our mission-driven organization. The Operations Manager plays a pivotal role in driving our mission forward. Reporting directly to the Senior Director of HR and Operations, this position is the heartbeat of our organization's efficiency and effectiveness. You'll take on a range of responsibilities, including managing systems, overseeing finances, support handling risks, coordinating facilities, managing vendors, and leading teams. This isn't just about managing operations; it's about orchestrating the behind-the-scenes magic that empowers our programs to thrive and impact lives. Primary Responsibilities:

Operations

    • Support with management and optimization of  necessary organization wide systems to streamline business operations.
    • In collaboration with the Billing/Administrative Clerk, oversee the organization’s billing system to ensure accurate, timely, monthly reporting to Program Leads/Directors.
    • In collaboration with the Billing/Administrative Clerk, oversee program fee collections.
    • Support with Mission Graduates’ IT needs and implementation plan, in collaboration with the Sr. Director of HR and Operations. Serve as the main point of contact for contracted IT vendor to lead, track and improve efficiencies.
    • Collaborate with Program Directors to ensure smooth operations at program sites
    • Provide support to teams across the organization on operational matters.
    • Assist in implementing operational initiatives and projects.
    • Pay close attention to detail in all aspects of operations management.
    • Ensure accuracy and precision in financial, administrative, and logistical tasks.
    • Other duties as assigned. 

Offices and Facilities

    • Oversee facility issues for all Mission Graduates’ offices and program sites. This includes but is not limited to:
    • Support in negotiating and managing office leases for Main Office and College Connect Office Space
    • Completing Facilities Use Permits with SFUSD for Fall and Summer Programs
    • Maintaining and updating the organization’s health and safety protocols in partnership with local stakeholders.
    • Serve as the primary point of contact when there are incidents related to equipment quality and stakeholder service. This includes any issues on-site at program facilities, such as equipment breakage.
    • Oversee all inventory management for the Main Office, College Connect Office and Program Sites, in coordination with the Billing/Administrative Clerk.

Purchasing/Vendors

    • Develop, track, and maintain contracts for services with organizational and program vendors. This includes but is not limited to:
    • Overseeing MOU’s and Contractor agreements for Extended Day Programs, College Access and Parent Partner Programs, ensuring all contracts remain legally compliant with funders’ requirements and reporting procedures.
    • Produce/track and manage needed Certificates of Insurance, W-9’s for vendors.
    • Manage relationships with key operations vendors.
    • Track vendor pricing, rebates, and service levels.
    • Leverage organizational purchasing power to identify additional partnerships and vendors.

Skills and Qualifications

    • Bachelor’s degree in operations management, business administration, or related field preferred 
    • 2+ years’ proven experience in an operations management position
    • Highly trained in conflict management and business negotiation processes
    • Knowledge of general business software and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Outlook)
    • Excellent communication, organizational, and problem-solving skills.
    • Ability to work independently and collaboratively in a fast-paced environment.

    • Proactive approach to identifying and addressing operational challenges.
    • Strong eye for detail in all aspects of operations management.
    • Bilingual, Spanish preferred
$75,000 - $85,000 a year
