Office Manager/Assistant to the Director, School of Hospitality Management

The School of Hospitality Management in the College of Health and Human Development at Penn State University is seeking qualified candidates for their Office Manager/Assistant to the Director position, to be hired as an Administrative Support Manager. The final candidate will provide comprehensive, preemptive, and tactical administrative, human resource, and financial support for the School through management of the daily operations. This person will serve as a member of the School's executive team and must possess a service ethos and hospitality mentality.

The successful candidate will:
  • Lead and direct the work of full-time administrative support staff, part-time administrative support, and internships; hire, supervise, and evaluate support staff; manage all aspects of job searches for faculty and staff.
  • Oversee and assist with promotion and tenure dossier preparation, sabbatical leave requests, post-tenure reviews, and peer teaching review process.
  • Handle confidential materials related to salaries, recruitment of faculty, budgets, foreign national paperwork (i.e., visas), and others as appropriate.
  • Monitor budgetary matters; ensure fiscal deadlines are met; assist in budget preparation, report preparation, records control, and related special projects; review and approve financial transactions.
  • Interpret, communicate, and monitor academic/administrative, budgetary, and human resources policies and procedures; ensure compliance with policies and procedures.
  • Communicate with internal and external stakeholders and management to exchange information, resolve issues or concerns, and coordinate activities.
  • Coordinate, prioritize, and maintain schedules and calendars of meetings, appointments, and special events for the School Director; arrange meetings and coordinate travel arrangements.
  • Establish and assign priorities; ensure schedules are maintained and deadlines are met; develop administrative processes and procedures.
  • Represent the work unit in various meetings and/or committees involving other administrative and academic units.
  • Manage and oversee the processing of financial and human resources forms, including all payroll.
  • Serve as facilities coordinator by managing the School's physical spaces, project management, and office equipment purchases.
  • Oversee operational and administrative processes and monitor deadlines.
  • Gather data and provide information on various annual reports.


Candidates with demonstrated supervisory or management experience are encouraged to apply. Thorough knowledge of University policies and procedures related to financial and human resources is preferred. Experience with eSteward, LionPATH, SIMBA, WorkDay, iStart, SIMS, and SAP Concur is desired. Candidate must be able to act independently and as a member of a management team and be able to handle sensitive Human Resource issues with absolute confidentiality. The successful candidate must be highly motivated, organized, and detail-oriented while having professional written and verbal communication skills, excellent interpersonal skills, and a teachable spirit.

Education and Experience Requirements:

Typically requires an Associate Degree or higher, plus four years of relevant work experience or an equivalent combination of education and experience. The successful candidate will be a self-starter who can work independently with little supervision, and also as part of a team.

Work Arrangements:

This position requires the successful candidate to work primarily in person, on campus.
