Purpose

The Audit Specialist position is responsible for a variety of duties on the Analytics Team and will help verify and ensure the accuracy of the data coming from the Cultivation, Processing and Supply Chain Departments in Illinois, Massachusetts, New York, Colorado, Michigan, Maryland, Ohio, & Pennsylvania. The focus of the Audit Specialist is to ensure inventory accuracy across all systems (METRC/Biotrack/MJ Freeway/Dynamics NAV/CounterPoint/Leaf Trade/LeafLink), and our internal Google Sheets through physical and digital reconciliation. In addition, the Audit Specialist will be responsible for verifying the accuracy of data entered by other departments and assisting in any reporting duties as needed. This position requires a high attention to detail and an intermediate working knowledge of Dynamics NAV/CounterPoint, state seed to sale systems, Google Sheets, and Excel. The position provides regular and timely communication with Analytics, Cultivation, Supply Chain, Quality Assurance and Processing management as well as team members within those departments. The Audit Specialist is expected to operate under the highest standards of compliance and professionalism.

Essential Duties

Auditing

  • Conduct cycle counts of finished products in NAV to compare against physical counts on hand and data within METRC.
  • Conduct cycle counts of raw materials in NAV/Google Sheets to verify on hand quantities.
  • Conduct physical audits of work in progress material to confirm accurate data in internal tracking systems.
  • Perform digital audits of products to compare data from internal inventory systems to state seed to sale tracking systems.
  • Assist with plant count verification.
  • Verify data uploads to LeafLink/Leaf Trade to ensure accuracy of online menus.
  • Track and document cycle count results to create a record of inventory audits.
  • Ensure completeness and accuracy of all counts.
  • Investigate inventory discrepancies to identify root causes of inventory issues.
  • Assist with resolution of inventory discrepancies.
  • Document inventory discrepancies to ensure accountability and identify opportunities for process improvement.
  • Prepare facility for and assist with end of year third party inventory audits.
  • Assist with resolution of Analytics support tickets.

Reporting

  • Run reports in METRC/Biotrack/MJ Freeway, CounterPoint and NAV in relation to plant counts, on hand inventory and raw materials.
  • Accurately compile and scrub data to report on a wide range of activities in multiple departments as assigned.

Compliance

  • Ensure compliance with all state and federal regulations
  • Ensure that workflow and work procedures are documented and that appropriate controls and audit are in place to ensure data and processing integrity.

Other Duties

  • Coverage in other regions and departments of Analytics.
  • Occasional coverage/assistance for data entry.
  • Creation of METRC/Biotrack/MJ Freeway manifests and Dynamics NAV transfers as needed.
  • Using data to identify areas where there is the opportunity to grow.
  • The Audit Specialist will be required to assist the Audit Manager in training others in the department on processes commonly used by the team.

Supervision

  • Works under the direct supervision of the Audit Manager, also takes direction from the Analytics Manager(s).
  • This person does not supervise others.

Job Qualifications

Work Experience

  • One to three years of data entry experience is required.
  • Intermediate working knowledge of Google Sheets and/or Excel required.
  • One year of experience working in METRC, Biotrack, or MJ Freeway preferred.
  • Prior experience working within Dynamics NAV, CounterPoint, or similar inventory tracking systems preferred.
  • Data analysis experience preferred.
  • Demonstrated oral and written communication skills.
  • Knowledge of inventory management and adherence to FIFO.
  • Knowledge of state and federal employment laws relating to key areas of responsibility.
  • Must be able to secure appropriate work credentials from the relevant State Licensing Authority in all states where PharmaCann operates.

Education

  • High School diploma or equivalent required.
  • Bachelor’s degree preferred.

Working Conditions

  • This position requires travel between Lothian and Stevensville, MD facilities
  • Able to use a computer for extended periods of time.
  • Able to move about a typical office, manufacturing, warehouse, or retail environment
  • Able to perform general office managerial and administrative activities.
  • Able to lift and move up to 25 pounds occasionally.
  • Regular and on-time attendance.
  • Hours regularly exceed 40 hours per week.
  • Occasional travel by conventional means including aircraft, motor vehicle and the like within the region and to other locations as required.
