Overview
The Program Assistant will support the work of their ORL colleagues, particularly (but not exclusively) those with the most responsibility for pastoral care (the Dean, two Associate Deans, and two Assistant Deans). Duties will include the liaising with invited speakers and other guests, liaising with the Communications staff in ORL about publicity, connecting with co-sponsors on campus and off, following up with student participants and leaders as necessary, securing hotel accommodations and transportation, and retaining and reconciling receipts for programming costs.
Responsibilities
Tasks relevant to program administration -- reservations, budgeting, publicity, speakers, etc.
- Secure lodging and transportation for guests
- Liaising with invited speakers and other guests
- Communications staff about publicity, co-sponsors on and off-campus, student participants, leaders as necessary, Chapel interns
- Enter and track programming updates in ASANA
- Print posters for programs
- Program Supplies
Attendance at staff meetings and program-specific planning meetings
- Weekly bulletins
- Manage listservs for ORL and the Chapel
- Coordinate international service break trips with/ WorldTravel
- Office and printer supplies – order, maintain, and stock/organize supply closets
- Religious Preference Survey for First-Year students – Create the survey, manage submissions, and distribute results to the PAC (Survey Monkey)
Conferring with the ORL Budget Manager on expenses, honorarium forms, guest reimbursements, etc.
- Reconciling program and guest travel expense reports in Concur
Qualifications

- Excellent organizational skills;
- Use of Microsoft Word, email, Excel
- Attention to detail

- Awareness of sensitivities regarding programming topics

- Personal flexibility and ability to take on new tasks as they unexpectedly arise
