Overview

The Program in Applied and Computational Mathematics (PACM) seeks a Program Manager. The manager of PACM manages all day to day operations of the program. The role includes budget planning, analysis, and financial management; and processing appointments. Position requires thorough knowledge of the university’s financial systems. The manager serves as the primary information resource on university procedures and deadlines. The manager is responsible for ensuring that the faculty, students, and staff have the necessary resources to carry out their academic, research and administrative duties.

The director establishes the academic and intellectual direction of the program and the manager provides support for the director's vision. The manager supervises an administrative staff of three, and two systems staff shared with Mathematics. The manager oversees the functional areas of budget management; sponsored research administration, academic programs and student services; facilities and operations; staff supervision and performance management; and policy and compliance. The manager reports directly to the director, with a secondary reporting relationship to the Director of Academic Administration.



Responsibilities

Personnel Management

The program manager supervises the hiring, performance reviews, merit increase process and terminations of the administrative staff, including regular staff. The academic manager should be knowledgeable in University policies and familiar with visa regulations, federal work study requirements, tax laws and fair labor standards.

Academic management

The manager supervises the administration of the teaching component of departmental activities, ensuring that the academic department meets all deadlines for the offices of the Dean of the Faculty, Registrar, Dean of the College, and the Graduate School. The manager may be responsible for any or all of the following duties: administration of the teaching budget; preparation of paperwork for appointments for faculty; coordination of faculty summer salary and annual faculty salary review; appointments of postdoctoral and professional researchers, visiting fellows and visiting students; course and enrollment information; graduate student support and graduate student teaching assignments (AIs); summer study/research programs; graduate admissions for department; course and preceptorship planning; student records; and certificate program requirements.

Budget and financial management

The manager develops the administrative budget for the program, in collaboration with the director. The manager is responsible for careful and appropriate use/allocation of the all PACM funds, and any grants or sponsored research. The manager monitors spending and provides regular and timely analysis and projections of the available funds to the director. The manager establishes and communicates internal controls for relevant staff members in order to safeguard University assets, maintain accurate and reliable accounting information, promote operational efficiency, and ensure adherence to prescribed policies and procedures.

Communications

The manager oversees the maintenance and updating of the department website, and serves as project manager for website redesign projects.

Facilities/Events Management

The manager oversees office moves, renovations and repairs; manages space assignments for faculty and staff and purchase of department furniture and equipment. The manager supervises the scheduling and logistical details for meetings, conferences, department events, seminars, workshops, lectures.



Qualifications

Essential Qualifications

- Bachelor's degree or equivalent, plus 5 or more years of work experience.

- Demonstrated leadership, problem-solving, decision-making, and communications skills.
- Ability to effectively manage the resources of the department: experience in budget management, oversight of financial operations.
- Supervisory experience and ability to coach and mentor staff.
- Superior organizational skills and ability to manage multiple priorities.
- Strong interpersonal skills and the ability to communicate in a manner that is professional, objective and easily understood.
- Sensitivity to the needs and concerns of faculty, staff, and students and other members of the University community.
- Knowledge of University policies, visa regulations, federal work study requirements, tax laws and fair labor labor standards.
- Values importance of diversity and inclusion.

Preferred Qualifications

- Experience in university administration strongly preferred
- Knowledge and experience in conflict management and resolution
