Job Summary:

The Institute Behavioral Research Coordinator is responsible for managing IBR operations by coordinating day-to-day services and assisting Director and Principal Investigators.

Duties & Essential Job Functions:

1. Manages day-to-day operations of IBR by resolving issues with funders and staff and other administrative units on campus; identifying and coordinating project issues; advising institute director on needed actions.
2. Assists in preparing grants, budgets, and progress reports by gathering data, studying trends and providing information; reviewing actual revenue and expenses against budgets; recommending improvements.
3. Organizes and plans grant application activities and internal operations by conferring with appropriate Principal Investigators, staff, and external funding agency personnel to form project objectives and timelines; assisting staff with logistics for major projects objectives and timelines; assisting staff with logistics for major projects, meetings, training and events.
4. Accomplishes office staff job results by selecting staff; coaching, counseling, and disciplining employees; scheduling and assigning duties; planning, monitoring, and appraising job results.
5. Promotes IBR research to external constituents by developing and implementing quality standards; maintaining a collaborative work environment; and demonstrating progress toward project milestones and goals.
6. Monitors expenses by gathering and reporting budget information; processing payments of bills and invoices, scheduling and reconciling expenditures.
7. Keeps management informed by reviewing and analyzing reports; summarizing information; identifying trends; suggesting improvements to office operations.
8. Ensures operation of equipment by completing preventive maintenance requirement; calling for repairs; maintaining equipment inventories; evaluating new equipment; making recommendations for changes.
9. Performs other related duties as assigned.

Required Education & Experience:

• Bachelor's degree or equivalent experience required.
• 3 years of experience providing administrative services including experience in staff supervision.

Knowledge, Skills & Abilities:

• Knowledge of Microsoft PowerPoint and Access.
• Knowledge of the navigation of Microsoft Windows.
• Knowledge of communication and interpersonal techniques.
• Knowledge of basic accounting processes.
• Knowledge of Federal grant related programs.
• Knowledge of customer service techniques.
• Knowledge of basic keyboard and ten-key techniques.
• Skill in the use of Microsoft Office to include Word, Excel and Outlook.
• Ability to work in a team environment.
• Ability to develop and maintain productive collaborative relations.
• Ability to develop and implement training programs.
• Ability to manage multiple administrative task simultaneously.

Physical Requirements (With or Without Accommodations):

• Visual acuity to read information from computer screens, forms and other printed materials and information.
• Able to speak (enunciate) clearly in conversation and general communication.

Work Environment:

• Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
• This role is an on campus, in-person position.
