DEPARTMENT OVERVIEW

UC Santa Cruz Summer Session is a leader in the UC system in its growth and development of new courses, programs and curriculum in support of student achievement and success, facilitating 4-year (and even 3-year) graduation. Summer Session is a significant part of UC Santa Cruz, enrolling more than 6,000 students with annual growth expected to continue. Special programs include the Edge programs for fall admit students, increased engagement with area high schools, and other initiatives initiated by the Director. With an entrepreneurial spirit, the department is an active campus collaborator, helping UC Santa Cruz achieve its goals of improved student transition, decreased time-to-degree, graduate student employment, and educational experience opportunities for Slugs in summer

The Division of Undergraduate Education (UE) is a complex organization comprised of Campus Advising Coordination, Summer Session, Colleges Academic (Cowell, Stevenson, Crown, Merrill, Kresge, Oakes, Porter, Rachel Carson, College Nine, and Lewis), Enrollment Management (Undergraduate Admissions, Orientation Programs, and Financial Aid), Registrar and the Educational Partnership Center (EPC General, EAOP, K-12 Regional Alliances, Research & Evaluation, K-12 STEM, MESA, CAL-SOAP, CRLP, and GEAR-UP). The division has a budget of $30 million and is comprised of more than 300 staff, students, and faculty personnel, each one of whom helps students to be successful.

JOB SUMMARY

Under the general direction of the Vice Provost and Dean of Undergraduate Education, the Director is responsible for strategic leadership of the UC Santa Cruz Summer Session and of the Summer Session Office.

The Director will develop and maintain strong collaboration with all academic departments, colleges, and divisions, and leverage these collaborations in the development of new and refined summer courses, curricula, programs, and initiatives. The Director is responsible for financial planning and budget oversight; implementing academic policies; and ensuring effective use of campus course scheduling and students records IT systems.

Responsibilities include curriculum and program development in conjunction with academic departments and colleges; developing and implementing annual marketing strategies; overseeing joint programs with the Teaching and Learning Center in graduate student mentorship and online course development; collaborating with the budget and financial aid offices to determine tuition, fee, and aid policies; facilitating different academic and academic appointment workflows; and working with academic advisors and programs, with undergraduate admissions, and with others, to meet the needs and provide opportunities to their students.

APPOINTMENT INFORMATION

Budgeted Salary: $123,900 - $169,500/annually. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

40% - Strategic Leadership
  • Develops a summer curriculum (in consultation with campus academic departments and colleges) that is balanced, attracts diverse enrollments, and meets campus goals.
    Analyzes curricula to identify gaps that may impact retention and degree progress of new frosh, new transfer, and continuing undergraduates.
  • Evaluates data on courses, enrollment trends, student needs, and best practices. Reports findings broadly and provides recommendations for change.
  • Develops and implements programs to meet the changing needs of students.
  • Oversees comprehensive marketing strategies for Summer Session and its programs.
  • Leads initiatives to promote courses and programs to prospective and current students and members of the community.
  • Works with partners and stakeholders to ensure the success of programs.
  • Develops multi-level, strategic partnerships with campus academic units, including departments, colleges, and divisions, global engagement, and the academic advising and adjacent communities
  • Collaborates with Academic Senate committees, administrative committees, and campus organizations.
  • Maintains position as a summer session leader with UC systemwide, regional, and national professional organizations.

40% - Management, Operations
  • Designs and implements the curricular call and course selection processes, graduate student and instructor assignments and appointments, scheduling, room and lab reservations, and accommodations.
  • Leads efforts campus-wide to improve the summer quarter student experience, in collaboration with units in Student Affairs, Undergraduate Education, Finance Operations and Administration, and other units and divisions.
  • Ensures continuous improvement to resolve complex operational issues. Deploys technology to solve operational issues, and improve service to students and programs.
  • Advises faculty and staff on student, University, and Summer Session policies, procedures, and strategies.
  • Ensures high consistency in accounting processes and prudent and effective use of allocated resources.
  • Designs proposals for student-centered tuition and fee structures in coordination with financial aid structures.
  • Works with the budget office and campus leadership to implement revenue share processes that incentivize departments, colleges, and divisions to expand summer curriculum.
  • Collaborates with the divisional Academic Human Resources Office on the hiring, appointment and payroll processing of Summer Session faculty, students, and staff annually.
  • Provides oversight of the Summer Session Office.
  • Ensures smooth operation of the summer session office and its physical and virtual locations, including personnel hiring, mentorship, management, and (as needed) reorganization in support of summer session and divisional goals.
  • Ensures swift, fair, and respectful responses to faculty, student, and staff suggestions, questions, complaints and problems.
  • Ensures commitment to and preservation of student record privacy and confidentiality.
  • Represents and ensures representation of the University off campus for public outreach activities like college fairs with the Office of Admissions, visits to area high schools, interviews for radio and newspaper.

20% - Team Building
  • Develops and maintains the summer session office as an innovative, entrepreneurial team that embraces our commitments to UCSC Principles of Community, including diversity, equity, and inclusion.
  • Develops and maintains the cross-campus collaborative team that makes summer session possible, including course sponsoring departments and colleges, collaborating disciplinary, academic, and academic support divisions.
  • Participates in and contributes to the UE divisional leadership team and its strategic missions.


REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Demonstrated leadership skills and ability.
  • Excellent project management skills, including complex projects with a multitude of stakeholders.
  • Broad knowledge of financial analysis, reporting techniques and human resource planning.
  • Demonstrated management and conflict resolution skills to effectively lead and motivate others.
  • Ability to communicate regularly and effectively with all levels of staff in a variety of units, assessing needs and providing clear and persuasive recommendations, guidance, and influence.
  • Strong oral communication and interpersonal skill, diplomacy, and tact.
  • Strong written communication skills.
  • Advanced analytical / problem-solving skills. Ability to assess business processes, identify operational gaps, and implement improvements.
  • Demonstrated experience developing and assessing programs, courses, or curriculum for students, and making programmatic changes informed by assessment data.
  • Skills in organization and customer service to effectively manage multiple important priorities. Proven ability to organize department work functions in an efficient and effective manner.


PREFERRED QUALIFICATIONS
  • Terminal degree in education (or related field).
  • Advanced knowledge of the organization's processes, protocols and procedures.
  • Experience leading and managing a summer session program.


SPECIAL CONDITIONS OF EMPLOYMENT
