DEPARTMENT OVERVIEW

The SBS Financial Service Center assists individuals with billing inquiries, understanding their student/ faculty/ and staff accounts, navigating the payment process for charges on their MyUCSC account, and providing refunding assistance for their general payment or financial aid credits from MyUCSC. The SBS Financial Service Center also provides essential payment processing services for the entire campus from sub-cashier deposits to change orders to processing student, staff, and faculty payments. We offer phone and email accessibility, as well as walk-in hours to reach as many individuals as possible in a customer-centered, solution-based environment.

JOB SUMMARY

Under the supervision of the Service Center Manager, the incumbent's main responsibility is to provide excellent customer service to the students, faculty, staff, and the general public at UCSC via phone, email, zoom, and walk-in visits. Good judgment and critical thinking are required in determining the applicability of policies and procedures to independently handle special or sensitive account problems and complex customer service and cashiering tasks. The incumbent has the responsibility for determining what procedural methods of work to use in each situation and must coordinate and cooperate in projects with others. The incumbent must remain in compliance with office procedures, campus policies, and internal control guidelines and maintain clear and strict separation of duties between cashiering responsibilities and tasks and customer service responsibilities and tasks.

Budgeted Salary: $23.86/hour
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

45% - Front Line Customer Service

  • Provide accurate and appropriate customer service to students/staff/ faculty regarding their account balances, billing inquiries, refund activity, and other account information as requested via phone, email, and walk-ins as a representative of the SBS Financial Service Center.
  • Work together with a team of specialists to provide customer-focused, solution-based services.


45% - Batch Payment and Deposit Processing

  • Accurately verify and process deposits submitted by sub-cashiering stations and the campus community via night depository, in person, or online.
  • Accurately verify and receipt all collections against appropriate accounts using the Administrative Information System (AIS), electronic cash registers, or miscellaneous receipts.
  • Reconcile cash and checks received using AIS and Smart Safe reports and reconcile checks via B of A reports.
  • Complete Cashier's daily check-out form and assist in compiling data for end-of-day deposits.
  • Identify problem payments/ accounts for departments and provide appropriate outreach if needed.


5% - Cashier Window Service

  • Provide accurate and appropriate payment totals to students, faculty, and staff regarding account balances owed.
  • Collect payments and secure them in the drop vault for processing daily with sub-cashier deposits and student payments from the night drop box.


5% - Administrative

  • Process returned mail as required including sorting, delivering, and processing correspondence, payments, or deposits from students, faculty, staff, and the general public.
  • Reconcile office vault as needed with Vault Custodian.
  • Clean and sanitize the office as required to campus standard
  • Perform other tasks that benefit the unit as requested by the Supervisor.


REQUIRED QUALIFICATIONS
  • Working knowledge of administrative procedures and processes. (i.e. computer skills and related software).
  • Ability to work accurately under pressure of deadlines, interruptions, and heavy workloads with attention to detail.
  • Demonstrated flexibility with the ability to adapt to changes in priorities and the work environment.
  • Oral communication skills with the ability to speak in a well-organized, courteous, timely, and effective manner.
  • Written communicates with the ability to write in a well-organized, courteous, timely, and effective manner.
  • Customer service skills with the ability to provide consistent, courteous, professional service all customers.

PREFERRED QUALIFICATIONS
  • Familiarity with Google Workspace (Sheets, Docs, Slides, Gmail).
  • Familiarity with Microsoft Office Suite (Word, Excel).
  • Familiarity with presentations/slideshows (Powerpoint, Google Slides).
  • Experience or knowledge of cashiering equipment, (e.g. cash registers, currency counters, coin machines, check encoder/imager, etc.).
  • Experience or knowledge using data entry systems and computers.
  • Experience using Academic Information Systems (AIS)


SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate will be required to work all scheduled hours on-site.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Ability to maintain appearance and conduct suitable for working in a professional setting.
