JOB SUMMARY

The School of Business Office of Diversity Initiatives (ODI) is seeking a full-time Administrative Coordinator (Administrative Program Support 2). The incumbent will report to the Associate Dean for Undergraduate Programs and will provide administrative and program support for ODI, including the Financial Literacy Innovation Program (FLIP). This is an end-date, annually renewable position that will be based at the Storrs campus. Evening and weekend hours will be required in support of program needs. In-state and out-of-state travel will also be required on occasion in support of program events and activities.

DUTIES AND RESPONSIBILITIES

Include but are not limited to:
  • Performing office coordination duties, directing the workflow, and supervises the processing of administrative and personnel paperwork including the ODI and FLIP budgets, assisting with budget projections, processing travel authorizations, financial transactions, stipend payments, ProCard transactions, ordering office supplies and promotional items, processing and maintaining administrative paperwork, and maintaining student and program records.
  • Coordinating recruitment and outreach activities, representing the school to high schools, students, and parents. Creating and preparing marketing and presentation material for FLIP and gives presentations at high schools and community organizations.
  • Hiring, supervising, evaluating and training student employees, determining work assignments, monitoring progress on projects, and prioritization of tasks.
  • Responding to inquiries and serving as a resource to faculty, staff, students, parents, and external administrators regarding the policies, procedures, and requirements of the FLIP program, and ODI. Staying abreast of changes to university policies and procedures in order to provide informed responses.
  • Assisting in the planning, coordination, and execution of small and large events and activities, including but not limited to FLIP orientations, annual banquet, Saturday class sessions, ODI winter celebration, bonfire, and programming with student organizations.
  • Coordinating and participating in the FLIP application and admissions processes.
  • Monitoring FLIP student progress and compliance with program requirements and standards.
  • Overseeing the maintenance of the ODI website. Regularly monitoring information for accuracy of time-sensitive material and making updates as needed.
  • Independently developing, updating, and maintaining data and preparing reports and queries to support ODI and FLIP functions and to aid in evaluation of program effectiveness.
  • As needed, providing administrative support for Early College Experience (ECE) courses in financial literacy.
MINIMUM QUALIFICATIONS
  1. Bachelor's degree in related field or equivalent combination of education and experience.
  2. Two years of experience in a responsible administrative support position. Demonstrated organizational skills and ability to resolve administrative problems efficiently, effectively, and independently.
  3. Demonstrated ability to plan, coordinate, and execute events.
  4. Demonstrated experience using Microsoft Office products.
  5. Demonstrated experience taking initiative, working independently and accurately, exercising sound judgment when making decisions, and meeting deadlines.
  6. Demonstrated excellent written, verbal, and interpersonal communication skills and the ability to build and maintain collaborative relationships with faculty, staff, students, administrators, external agencies/groups, and the public.
  7. Dependable transportation and willingness and ability to work evening and weekend hours and travel in-state and out-of-state as needed in support of program activities.
PREFERRED QUALIFICATIONS

  1. Demonstrated experience working in a higher education setting in a university environment.
  2. Demonstrated experience working with diverse student populations.
  3. Demonstrated experience with financial processing and reporting systems such as Kuali.
  4. Demonstrated experience with Aurora WordPress or similar web content management systems.
  5. Demonstrated supervisory ability.
APPOINTMENT TERMS

This is a full-time, end-dated position based in Storrs, CT with the possibility of renewal subject to performance and funding. The salary range for this position is $50,091 to $52,000 depending on education, qualifications, and experience.
