Recruitment and Admissions Manager



The Graduate Studies Office (GSO) in the School of Medicine (SOM) represents all SOM graduate programs offering opportunities for research training that are available in 11 PhD, 4 Master of Science, and 4 certificate programs. The Recruitment and Admissions Manager represents all SOM graduate programs (PhD, MS, certificate) at local and national recruiting events, spearheads marketing of all programs, and manages admissions processes at varying levels for the different programs. This administrator liaises with University diversity and inclusion initiatives and provides guidance for the summer undergraduate research program. This position will interact with faculty, staff and students at Pitt as well as those external to the University.


Job Summary

Assists leadership in the creation and maintenance of the admissions and recruitment strategy. Oversees day-to-day office operations, marketing strategy, and promotional communications. Recruits, evaluates, and participates in the selection of candidates for admission.


Essential Functions

Travel and professional representation of all SOM graduate programs is an integral component of this position. Will utilize and understand operation of a customized management system for student applications, interviews and committee decisions. Lead liaison for all graduate programs utilizing the custom system. Compile and report admissions statistics across all School of Medicine graduate programs. Responsible for all accepted students being matriculated into the University database (PeopleSoft). Is the lead administrator for the Interdisciplinary Biomedical Graduate Program (IBGP) admissions committee comprised of faculty and students representing discipline-specific programs of the IBGP. Will manage screening process of ~500 applicant files for a target class of 16-20 students each year. Will plan, organize, and attend all events for interview weekends (2-3), which includes scheduling interview appointments with faculty, students, and staff, recruiting sessions, breakfast, lunch and dinner receptions, and a tour of campus facilities and the city.


Physical Effort

The incumbent must be able to proficiently use various forms of communication, computer/keyboard, ability to read and write documents in various formats (electronic/hard copy) and utilize software programs and University applications. Position is generally sedentary, but occasionally may need to lift packages (weighing 25 lbs. or less).
