JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Specialist 3 manages all departmental administrative task for the BS-ASP, MS-SLP, Au.D, and Ph.D. students. This position provides support and assistance for all daily tasks, activities, and procedures for the department.

DUTIES AND RESPONSIBILITIES:

  1. Manages all departmental administrative tasks including ordering supplies, mail distribution, schedule and file maintenance, room scheduling, maintenance of basic office equipment, and procedures for the department.
  2. Utilizes IRIS/DASH to conduct semi-routine financial activities such as submission of petty cash reimbursements, payable invoices, internal transfers, refund requests, and other financial activities.
  3. Prepares travel reports in Concur per receipts after verifying the accuracy of all supporting documentation and departmental approval.
  4. Coordinates the semester course evaluations to retrieve data and analysis for each course; prepares reports for faculty and department chair.
  5. Maintains student files with information related to application, vaccinations/clinic, licensure, academic records, and graduation.
  6. Coordinates special events e.g., prospective student visits, orientation, commencement, receptions, and luncheons.
  7. Performs and assists with enrollment of students each term/semester; schedules advisor appointments and maintains up-to-date advisor list.
  8. Serves as the liaison with the B.S. undergraduate 3+1 program.
  9. Ensure University policies and procedures are followed for Memphis and Knoxville campuses including departmental policies and procedures, FERPA rules and regulations, HIPAA, and Medicare rules and regulations.
  10. Maintains report on PRAXIS score information and files each student’s individual score in academic records.
  11. Maintains directories and communication for the department, program, faculty, staff, and students.
  12. Performs other duties as assigned.

Qualifications :

MINIMUM REQUIREMENTS:

EDUCATION: High school diploma or GED (Bachelor’s preferred). (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of administrative support or office related experience; OR Associate’s Degree and two (2) years of administrative support or office related experience. Must have a valid Driver’s License and auto insurance.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Ability to operate Microsoft Office products (Word, Excel, Publisher, PowerPoint).
  • Excellent written and oral communication skills as well as interpersonal skills.
  • Ability to work in fast paced environment with great attention to detail.
  • Ability to work independently and meet deadlines.
  • Must be able to maintain confidentiality and work with a diverse population.
