Job Summary

The Programs of Public Affairs ( PPA) is an administrative unit within the College of Social and Behavioral Science ( CSBS) that oversees three professional masters programs: a Master of Public Administration ( MPA), Master of Public Policy ( MPP), and Master of Science in International Affairs and Global Enterprise ( MIAGE). The programs have strong local, regional, and national reputations, with students and alumni in all fields of public administration and policy and across the public, nonprofit, and private sectors. In July 2024, the PPA will transition to academic unit status under the title Division of Public Affairs.

We are seeking a talented, energetic professional to assist in the coordination and administrative support of our three public affairs programs and the future Division. The ideal candidate will work under the general supervision of the Finance and Human Resource Director, while supporting other staff and faculty as needed. This person will be professional, student-focused, a team player, and self-motivated with demonstrated awareness of and sensitivity to all populations. The position requires frequent interaction with prospective and current student, alumni, stakeholders, faculty, and other University staff. Applicants must have strong communication and organizational skills, and be comfortable working with those from diverse backgrounds.

This position carries in-person expectations with flexibility for some remote work and a schedule to be determined upon hiring.

Responsibilities

Administrative Support
  • Provide assistance to the finance director, program directors, and division chair
  • Assist with adjunct instructor onboarding
  • Arrange travel for faculty and staff
  • Department Pcard Custodian under the supervision of the finance director
  • Meeting support, including taking and distributing meeting notes
  • Maintaining space requests in for the Ott Seminar Room and similar spaces (including logging events and setting a door unlock schedule)
  • Answering phones and respond to inquiries
  • Collecting mail
  • Occasional errands to support the office, student groups and programs
Communications, Marketing, and Events
  • Serve as liaison for Pi Alpha Alpha and Sigma Iota Rho honor societies (e.g., ordering regalia and graduation certificates, supporting the annual PAA banquet, coordinate with the PAA and SIR boards)
  • Support faculty and staff on event planning and execution, including annual welcome back event, recruitment events, graduation and convocation events, student group events, speaker events, etc.
  • Help update and maintain websites and listservs
  • Help develop and distribute marketing materials
Academic Program Functions
  • Coordinate annual student admission process (includes keeping program managers and committee informed of student applications, sending acceptance letters, etc.)
  • Provide fellowship support to program managers, directors, and committee members (includes collecting and blinding applications, sharing information with committee, etc.)
  • Serve as a resource for students and instructors by helping answer questions and advising program and Division matters
  • Provide ongoing communication to prospective students and applicants
  • Support Program Managers to maintain student and alumni databases
  • Support annual NASPAA reports and re-accreditation self-studies
  • Support recruitment efforts
Executive Masters of Public Administration Functions
  • Liaising with Executive MPA cohorts and instructors regarding course planning/scheduling, set-up, and implementation
  • Order books from the Campus Store and deliver to students (in digital or physical form, as necessary)
  • Arrange parking moratoriums for in-person evening class meetings
  • Arrange food orders and assist with set-up for courses and events
Other
  • Additional tasks and projects, as assigned

Minimum Qualifications

Bachelor's degree in a related field plus one year directly related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Preferences

Training, experience in, and/or willingness to learn basic database management, basic website maintenance, and professional communications.
