Job Summary

Serves as the senior Executive Assistant in the office of the CEO. Responsible for planning, organizing, and managing administrative tasks such as scheduling meetings, triaging incoming tasks, guiding projects, and managing relationships with key stakeholders including interactions with leadership, clinicians, scientists, staff, trainees, and external partners. This position will join a dynamic team of passionate individuals dedicated to the mission of HCI. The successful candidate will be a service-oriented problem-solver who has a passion for administrative work. The ability to manage multiple competing tasks and priorities with discretion and finesse is essential.

Responsibilities

This position will be on-site, with the occasional opportunity to work remotely depending on office needs. Standard business hours, Monday through Friday with possible variations dependent on scheduled meetings and/or events. Applicants must demonstrate potential ability to perform the essential job functions outlined in the position description.

• Manage, organize, and monitor all administrative initiatives in the office of the CEO. Including coordinating meeting requests, triaging information.

• Once fully onboarded, supervise other administrative personnel.

• Develop strategic written documents and presentations for the CEO.

• Demonstrate professionalism, confidentiality, and exceptional follow-through.

• Attend and organize high-level meetings, retreats, and events, including agenda development and meeting minutes as required.

• Perform other duties as assigned.

Minimum Qualifications

Bachelor's degree in a related area or equivalency (one year of education can be substituted for two years of related work experience). Four to six years of progressively more responsible management experience. Background knowledge of hiring department's area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department.

Completion of provided supervisory training within one year of employment may be required.

Master's degree in a related area may be preferred.
