Compensation: The starting annual base salary range for this position is $61,400 to $75,000 (USD).

Position Summary and Responsibilities
The Manager of Operations will join a creative and inclusive team and will work collaboratively to support the recruitment and enrollment of intelligent, highly engaged, and creative students, regardless of their financial circumstances.

Serving as a key member on the Office of Admissions 'team, the Manager of Operations will provide operational expertise and guidance to create, implement, and maintain processes as well as oversee an operations team of five employees to ensure data entry accuracy and exceptional customer service in the Admission Office. Occasional evening and weekend work may be required. This is an on-campus position.

Responsibilities
  • Oversee day-to-day office management operations of the Office of Admission.
  • Supervise and train operations team of five (1 receptionist, 3 Administrative Assistants, and 1 Dean's Assistant) that manages data entry and data imports, application processing, website updates, and responds in a timely and professional manner to all general inquiries via phone, email, and in-person.
  • Routinely train operations team and seek to refine and improve processes as well as verify accuracy.
  • Ensure the admission space is a welcoming environment for prospective students and families, as well as a productive work environment for admission staff.
  • Develop and maintain training materials and reference guides for users, procedures manual for operations staff, and documentation of policies and workflow protocols.
  • Manage assignment of data audits for the operations team throughout the admission cycle.
  • Manage office workflow and conduct regular check-in meetings and bi-annual performance reviews.
  • Update and maintain admission events calendar and oversee receptionist who reserves on-campus spaces.
  • Oversee general Admission frontline communications such as email communications to main accounts, phone calls, and in-person guest inquiries.
  • First responder to customer service concerns.
  • Serve as mentor and uphold office policies.
  • Manage prospective and admitted student classroom visits and, if we are able to resume, will coordinate overnight student hosts.
  • Coordinate the general process for group visit requests, including online registration and check in.
  • Maintain inventory and oversee mailing of travel materials.



Qualifications
  • Bachelor’s degree in business, operations, or a related field of study or an equivalent combination of education and experience. Master’s degree preferred
  • Exceptional staff management and collaboration skills. Supervisory or management experience with the ability to train and mentor staff, deliver constructive feedback, and continually refine processes to align with new and best practices in the field
  • Experience with Slate CRM or similar database management system and comfort with technology, especially Google Suite and Microsoft Office
  • Experience documenting, auditing, and refining office procedures, especially technological processes that may require routine updates as systems upgrade
  • Must exercise good judgment, discretion, and integrity while working collegially with faculty, students, staff, and alumni
  • Strong analytical and organizational skills along with excellent verbal and written communication skills
  • Excellent attention to detail and accuracy
  • Excellent project management skills, especially in organization and schedule management
  • Strong customer service orientation and ability to mentor and lead staff to do the same
  • Skill in training others on software usage, data entry, and office procedures
  • Ability to work calmly under pressure and on tight deadlines, to multitask, and to set priorities as well as manage shifting priorities
