Business Manager
Vertical Arts is an award-winning team-oriented architecture firm based in Steamboat Springs, Colorado, with satellite offices in Vail and Denver. Our multi-disciplinary team is composed of organized, hardworking individuals who strive to deliver exceptional architecture to our clients and community. We are hiring a Business Manager for our Steamboat Springs office starting as soon as possible.
Position Summary: This position is responsible for managing the general business, human resources and some financial aspects of the firm. It provides support to Studio Directors in the oversight of regional offices and administrative staff.
Essential Functions: Human Resources -Preparing offer letters and employee agreement documents -Onboarding / Offboarding -Administration of employee benefit plans (insurance & 401k/DB) -Review and update Employee Handbook -Monitor employee PTO -Maintain proper employee documentation and files -Develop and update required forms/documents Finance -Process accounts payable and receivables -Responsible for bank deposits -Conducts basic bookkeeping processes and budget management -Will train with bookkeeper in the Ajera accounting software to take on additional finance/accounting related functions Buildings/Maintenance -Coordinates with contractors for repairs and maintenance of all offices -Coordinates with tenants and owners for repairs and maintenance of Santa Fe LLC -Assists with Denver condo management Miscellaneous -Assists Principals with complying with all laws affecting the general aspects of the business -Oversees office purchasing (supplies, furnishings) -Coordinates company hosted events and meetings
Job Specifications: -Knowledge and enforcement of the policies, procedures and goals of Vertical Arts. -Detail oriented with the ability to problem solve. -Skill in analyzing problems, identifying alternative solutions, projecting consequences of proposed actions, and implementing recommendations in support of company philosophies and goals. -Ability to research, evaluate and adapt to new methods and techniques for operational improvement. -Ability to regularly exercise discretionary authority in regard to company processes and organizational structure. -Ability to listen well and communicate effectively orally and in writing with various audiences. -Ability to use initiative and independent judgment appropriately. -Ability to apply appropriate public relations skills in various situations and circumstances and to facilitate change as needed. -Ability to establish and maintain effective working relationships with employees, management, governmental agencies, community members and the general public. -Must have strong communication skills with the ability to express ideas clearly and concisely in written and verbal formats. -Ability to use standard office equipment, computer equipment and software including word processing, database management, spreadsheet applications and electronic mail. -Knowledge of standard office policies and procedures. -Ability to perform, at all times, in a professionally ethical manner.
Additional Requirements: -This position requires travel to all office locations, job sites, clients’ locations, consultants’ offices as well as to any seminar locations, conferences, etc.
The ability to arrange transportation that is timely and cost effective such that it fits within the company’s reimbursable polices is required. -This role often but not always requires more than 40 hours per week and it is expected that employees of this level manage their time to get the work that is needed done within the required schedule.
Minimum Education and Experience: -5+ years of office experience required. -Bachelor’s Degree in business, accounting or related field preferred. -Previous supervisory experience preferred.
Working Conditions: -While performing the duties of this job, the employee is regularly required to perform grasping, talking, hearing, seeing and repetitive motions. -While performing the duties of this job, the employee may be required to look at computer or other electronic screens for long periods of time.
PHYSICAL DEMANDS: Must be able to lift, carry and balance up to 40 pounds (100 pounds with assistance).
