Summary
The College of Humanities and Sciences at VCU is seeking to fill multiple finance positions at both the Finance Tech and Senior Finance Tech levels! These positions will provide oversight and support for the fiscal and administrative functions as needed for various departments and schools of the College of Humanities and Sciences. The incumbents are responsible for the daily fiscal activities in the department for multiple indices, across multiple funding sources. These funding sources include, but are not limited to, E&G, overhead, university, and grant accounts.
Finance Technicians provide finance-related customer service and operational support typically to an academic school, department, or business unit. Their work content typically includes more than one functional area, such as accounting, budget, payroll, procurement, or treasury and may include more long-range assignments such as resource planning and forecasting. Their typical duties may include managing department and faculty purchase requests; assisting with travel arrangements and reports; managing all Banner financial transactions; analyzing expenditures; tracking faculty funding, including grants and contracts; reconciling and maintaining transaction records; and serving as Departmental Records Managers.
Senior Finance Technicians possess greater knowledge of administrative, logistical, operational, and technical tasks related to the financial services field, distinguishing them from Finance Technicians. They are further distinguished by the complexity of assigned work; an ability to identify options and develop solutions for unique or unprecedented situations; greater decision-making authority; and the judgment, resourcefulness, and ability to identify issues and/or areas that should be addressed differently. They are resources for others, participating in mentoring, coaching, and training.
Typical Duties
- Provide fiscal administrative support by preparing and processing procurement and travel and expense reimbursements.
- Submit purchase orders through VCU Real Source and create P-card purchases
- Prepares and processes deposits from multiple revenue sources to multiple department entities.
- Responds to and resolves issues regarding invoices, receiving, and other A/P related matters in a professional, courteous, timely, and accurate manner.
- Assist with creating and maintaining ARMICS standard operating procedures.
•Assisting the chairs/directors with determining the financial needs of their departments/schools and providing recommendations for items requiring special funding;
•Preparing fiscal budget requests to the Director of Finance (CHS) and managing the departmental budgets with direct input/oversight from the chairs/directors;
•Monitoring distributions from the VCU Foundation, endowment and scholarship accounts established for the departments;
•Managing external funds received by the departments/schools in conjunction with co-sponsored projects, and assisting responsible individuals with the management of the same;
•Working closely with faculty on internal/external grant-funded projects to ensure compliance with the terms of the grant; and
•Contributing to core staff efforts in other adjacent activities, as needed.
Job-Specific Education and Experience
Minimum Hiring Standards
•Bachelor's degree in Business Administration or related field, or equivalent work experience.
•Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.
•Ability to work independently and multi-task
•Ability to work in a fast-paced environment
•Exceptional verbal and written communication skills
•Proficient knowledge of accounting principles
•Proficient knowledge and experience using Microsoft Office applications, particularly Excel
Preferred Hiring Standards
•Certified Virginia Contracting Associate, or ability to attain after one year in this position
•Experience working with VCU Business System, including Banner, Finance Dashboard, Chrome River and RealSource.
•Experience working with Bank of America Works application (for P-Card expense approval).
•Proven familiarity with University, College, and Department policies in the areas of finance, procurement, and records retention.
Typical Expertise
•Knowledge of generally accepted accounting/bookkeeping procedures and practices
•Preferred several years of experience in a state/government business environment
•Preferred knowledge and experience with RealSource and Banner
•Demonstrated ability to communicate effectively with others both written and orally and to independently handle a variety of tasks in a high volume and fast paced area
•Ability to comprehend policies and procedures and guide students and staff
•Prepare routine reports and read, follow, and utilize complex financial reports generated by others
•Analyze complex information and problem solve with the ability to be highly productive with minimal errors
•Skilled in typing, filing, and general office procedures
•Ability to review, analyze, and interpret data based on a working knowledge of state and departmental policies and procedures
•Ability to perform detailed work and arithmetic computations quickly and accurately
•Working knowledge of Microsoft Office Suite (includes Word, Excel, PowerPoint)
•Preferred experience with making purchases, coordinating travel, or other financial responsibilities
